What a proper invoice needs

An invoice is a request for payment and, for most small businesses, a tax record. Whatever tool you use, include:

  • A unique invoice number, in sequence, so you and your client can refer to it and your records have no gaps.
  • Your details and the client's: names, addresses or emails, and a tax ID if your country requires one.
  • Issue date and due date. A clear due date gets you paid sooner than “payable on receipt”.
  • What you did, line by line, with quantity or hours and the rate.
  • Tax, if you charge it. Sales tax and VAT rules vary by country and state, so check what applies to you.
  • How to pay: bank details, a payment link, or the methods you accept.

When to move to invoicing software

A generator is fine for a few invoices a month. Once you are chasing late payments, sending the same invoice every month, or want clients to pay by card from the invoice, an invoicing app saves time with reminders, recurring invoices and payment links.
